The Lutheran World Federation – Augusta Victoria Hospital (LWF–AVH), located in Jerusalem, is a medical center of excellence that has been providing healthcare services and other health programs for about 70 years to Palestinians, including refugees from throughout the West Bank and Gaza. AVH, a program by the Lutheran World Federation, serves patients regardless of race, religion, ethnicity, age, gender, sexual orientation, or political conviction, without discrimination or favoritism; It is a modern tertiary care facility that serves the most disadvantaged patients from Gaza and the West Bank and has a special historic relationship with the United Nations Relief Works Agency (UNRWA) for Palestinian Refugees.

The Radiology Department plays a vital role in diagnostics and patient care, supporting physicians and other clinical departments with advanced imaging services.

Terms of Reference

 

Main outcome of the role:

The Secretary – Radiology Department is responsible for delivering comprehensive administrative and clerical support to ensure the efficient and effective operation of the department.

The role involves direct communication with patients, staff, physicians, and other departments; managing appointments and records; and providing essential logistical and organizational support to the Radiology team.

Main Responsibilities

• Provide high-quality administrative and clerical services to support the Radiology Department’s daily operations.

• Ensure accurate and efficient management of patient appointments, departmental schedules, and records.

• Maintain effective communication with patients, physicians, radiology technologists, and other hospital departments.

• Support departmental meetings, document management, and reporting functions.

• Contribute to creating a patient-centered, organized, and well-coordinated work environment.

Duties and Responsibilities

Patient Interaction and Communication

• Greet patients warmly and assist them during check-in and registration.

• Clearly explain appointment schedules, procedures, and necessary preparations.

• Respond to patient queries and phone calls promptly and professionally.

• Coordinate with doctors and radiology technologists to ensure they are informed of daily appointment schedules.

• Maintain a positive, supportive atmosphere for patients.

Scheduling and Coordination

• Manage diaries and book appointments for radiology imaging, follow-up consultations, and related services.

• Ensure proper communication of any changes or urgent requests to the medical and technical teams.

• Coordinate with other departments to facilitate seamless patient flow.

Clerical and Office Administration

• Operate office equipment including computers, printers, scanners, and fax machines.

• Type medical reports, correspondence, memos, and other official documents.

• Maintain and update filing systems (physical and electronic) to ensure confidentiality and accessibility.

• Generate and distribute daily census reports, meeting agendas, and minutes.

• Prepare and distribute papers and documents for departmental meetings.

• Support preparation of presentations using MS Word, Excel, and PowerPoint.

Documentation and Reporting

• Prepare a variety of official documents such as letters, reports, forms, and memos.

• Take accurate minutes during departmental meetings and distribute them in a timely manner.

• Ensure compliance with hospital policies in handling confidential information.

Organizational and Miscellaneous Duties

• Prioritize and complete administrative tasks efficiently and effectively.

• Support the department head and staff in daily operational needs.

• Perform any other tasks assigned by the direct supervisor or as required by evolving departmental needs.

Skills and Qualifications

Required:

• Medical Secretary certification or equivalent professional training in a related healthcare or administrative field.

• High proficiency in English, Hebrew, and Arabic (written and spoken).

• Strong computer literacy, including Microsoft Word, Excel, PowerPoint, and hospital information systems.

• Excellent interpersonal and communication skills for interacting with patients, staff, and external partners.

• Ability to work collaboratively within a team and manage competing priorities.

• Strong organizational and time-management skills, with attention to detail and accuracy.

Ability to work independently under pressure, meet tight deadlines, and demonstrate flexibility and creativity in planning and problem-solving.

Respect and promote ethical values and human rights. In addition, maintain professional relationships and act as guides.

 

Preferred:

• Previous experience in a healthcare environment, particularly in radiology or imaging departments.

• Familiarity with medical terminology and hospital scheduling systems.
