Main Outcome of the Role
To ensure efficient patient registration, appointment coordination, administrative follow-up, and front-desk operations within the Endoscopy Department by providing professional reception and medical secretarial support. The role is responsible for facilitating smooth patient flow, coordinating with Israeli health funds, ensuring timely follow-up on referrals and approvals, and maintaining high standards of patient service and operational efficiency.
To provide professional front-desk reception, patient coordination, scheduling, and medical secretarial support for the Endoscopy Department by ensuring efficient appointment management, effective coordination with Israeli health funds, accurate documentation, and high-quality patient service that supports smooth departmental operations and positive patient experience.
Position Summary
The Medical Receptionist & Secretary is responsible for managing patient reception, registration, scheduling, coordination, and administrative follow-up activities for the Endoscopy Department. The role serves as the first point of contact for patients and visitors and plays a key role accurate patient registration, efficient appointment management, coordination with Israeli Sick funds (Kupot Holim), and continuous follow-up on approvals, referrals, and required documentation.
The position requires strong organizational, communication, multitasking, and coordination skills to support smooth departmental workflow, optimize patient experience, and ensure continuity of care within a busy healthcare environment.
Key Responsibilities
Reception & Patient Service
- Register patients accurately within hospital systems and verify all required demographic, insurance, and referral information.
- Welcome and assist patients and visitors in a professional, respectful, and compassionate manner.
- Serve as the primary front-desk contact for the Endoscopy Department.
- Guide patients regarding appointments, referrals, procedure preparation instructions, and required documentation.
- Ensure proper patient flow and coordination throughout the registration and appointment process .
- Handle patient inquiries and concerns professionally and escalate issues when necessary.
Appointment Scheduling & Coordination
- Schedule, confirm, reschedule, and cancel patient appointments and endoscopy procedures.
- Coordinate appointments with physicians, nursing staff, and department schedules to optimize workflow and reduce delays.
- Conduct continuous follow-up with patients regarding appointments, attendance, referrals, preparation instructions, and pending documentation.
- Follow up on missed appointments and support efforts in reducing no-show appointments.
- Manage waiting lists and support efficient patient flow.
Coordination with Israeli Health Funds (Kupot Holim)
- Coordinate administrative processes with:
- Clalit Health Services
- Maccabi Healthcare Services
- Meuhedet Health Services
- Leumit Health Services
- Verify patient eligibility, approvals, referrals, and Form commitments.
- Follow up on missing approvals and required insurance documentation.
- Maintain updated knowledge of health fund administrative procedures.
Medical Secretarial & Administrative Support
- Prepare, organize and maintain patient files, forms, referrals, and medical documentation.
- Ensure all required paperwork and consent forms are completed before procedures.
- Maintain accurate and updated patient records information within hospital systems.
- Scan, file, and archive medical and administrative documents.
- Provide administrative and coordination support to physicians, nurses, and department staff.
Prepare routine reports, correspondence, and departmental records when required.
Qualifications & Requirements
Education
- Diploma or degree in Secretarial Studies, Medical Administration, Healthcare Administration, or related field preferred.
Experience
- Previous experience in medical reception, medical secretary work, or healthcare administration preferred.
- Experience working with Israeli health funds and
- Previous hospital or clinic experience is preferred.
